Duties
Payroll Processing
- Process bi-weekly payroll for all District employees.
- Review and verify time sheets, absence records (Frontline), stipends and extra duty pay.
- Ensure accurate calculation of salary placements, step and lane changes, overtime and substitute pay.
- Process payroll adjustments, retroactive payments and corrections as needed.
- Maintain payroll calendar and ensure deadlines are met.
Benefits & Deductions Administration
- Process employee benefit deductions including medical, dental, vision, life insurance and voluntary benefits.
- Ensure proper withholding of federal and state taxes.
- Coordinate TRS (Teachers’ Retirement System) and IMRF (Illinois Municipal Retirement Fund) contributions and reporting.
- Monitor and reconcile employee leave balances in collaboration with HR.
- Process garnishments, child support orders and other court-ordered deductions.
Compliance & Reporting
- Prepare and file required payroll reports, including quarterly and annual tax filings (W-2s, 1095-C, etc.).
- Ensure compliance with Illinois School Code, ISBE reporting requirements, IRS regulations and collective bargaining agreements.
- Assist with annual financial audit by providing payroll documentation and reconciliation reports.
- Maintain strict internal controls and documentation standards.
Coordination with Human Resources
- Process new hire payroll setup and employee separations.
- Ensure accurate salary placement based on contracts and board approvals.
- Verify approved leave types (bereavement, FMLA, worker’s compensation, unpaid leave).
- Collaborate on tracking extended leave and workers’ compensation payroll implications.
System Administration
- Maintain payroll data within the District’s ERP system (e.g., Tyler Technologies, Skyward, or similar).
- Monitor system accuracy and troubleshoot payroll-related discrepancies.
- Assist with system updates and implementation of payroll-related enhancements.
Customer Service & Communication
- Respond to payroll inquiries from employees in a professional and confidential manner.
- Provide clarification regarding payroll statements, deductions and benefits.
- Maintain confidentiality of all employee financial and personnel information.
Salary/Benefits
$60,000 - $70,000. The District offers fringe benefits including life, medical, dental and vision insurance.
Additional Notes
The Payroll Coordinator is responsible for the accurate and timely processing of all District payroll functions. This position ensures compliance with Board of Education policies, collective bargaining agreements, federal and state regulations and internal controls. The Payroll Coordinator works closely with the Business Office and Human Resources Department to maintain payroll accuracy, employee benefit deductions, retirement reporting and financial reporting requirements.
