Title:  Bilingual Spanish-Speaking - School Secretary/Registrar

 

Reports to: School Principal 

 

Definition: The Bilingual Spanish-Speaking School Secretary/Registrar handles administrative details, schedules appointments, handles school communication, and clerical duties such as answering phones, responding to email, typing reports and faxing documents. The School Secretary/Registrar is aware of what's going on at the school on a day-to-day basis.

 

Major Policy Responsibility: The busy office environment requires high levels of concentration while coping with frequent interruptions.

 

Duties and Responsibilities:

  1. Assist Spanish-speaking families by phone and in person.
  2. Translate flyers and other materials as requested.
  3. Distributes Mail
  4. Answers Phones
  5. Responds to inquiry from staff, students and Parents
  6. Maintains Communication Log
  7. Schedule appointments for Principal and Assistant Principal
  8. Maintains Student Data Base
  9. Input Power School Student Info including but not limited to student demographics, attendance, etc.
  10. Prepare Student Record Reports
  11. Manages Deliveries (UPS/FedEx)
  12. Maintains and copies SWIS and sends letters on Discipline
  13. Collect Phone logs (Teachers)
  14. Laminate Projects and Maintains Inventory
  15. Background Checks for Parents and Volunteers
  16. Registration
  17. Graduation
  18. Maintains and Processes student records
  19. Maintains Cumulative Folders
  20. Collects Lesson Plans
  21. Processes Transfer Requests
  22. Manages Substitutes (AESOP)
  23. Monitor and reconcile accounts for the Principal and Assistant Principal
  24. Enter requisitions, check deliveries and arranges distribution of goods
  25. Compose correspondence and effectively use technology
  26. Identify and address errors and discrepancies professionally and in timely fashion
  27. Attend workshop and seminars to improve the operations
  28. Evaluates the system and provide recommendations for improvement
  29. Responsible for safety protocols as outlined in the School Emergency Operations Plan
  30. Separate and distribute basic school supplies throughout the school year, as requested by staff members
  31. Track and maintain supplies inventory in district storeroom
  32. Greet visitors, determine nature of business, secure proper identification for name badge as outlined in policy manual
  33. Answer telephone to provide information, take messages, and transfer calls
  34. Performs secretarial duties (i.e. compose memos, draft letters, etc.)
  35. Perform duties to support the Lunch Program

Mailings and Notifications:

  1. Process requested fax
  2. Principal Newsletters
  3. Coordinate Report Cards Distribution
  4. Conduct Automated Message Alerts
  5. Letters for Detention or suspension
  6. Sends out Attendance/Tardy Notices
  7. Prepares Letter of Recommendation for High School Students

Terms of Employment:

FMLA is a minimum of 4 weeks.

 

Qualifications

  1. Be at least 18 years of age with an Associate Degrees preferred.
  2. Ability to follow both written and oral directions.
  3. Willing to work with and around adults and children.
  4. Follow work schedules and procedures.
  5. Be willing to learn new skills and follow directions.
  6. Have basic computer skills and be proficient in Microsoft Word, Excel and Google Platform

Salary/Benefits

Hourly Salary is commensurate with experience and education
