Job Description
Title: Bilingual Spanish-Speaking - School Secretary/Registrar
Reports to: School Principal
Definition: The Bilingual Spanish-Speaking School Secretary/Registrar handles administrative details, schedules appointments, handles school communication, and clerical duties such as answering phones, responding to email, typing reports and faxing documents. The School Secretary/Registrar is aware of what's going on at the school on a day-to-day basis.
Major Policy Responsibility: The busy office environment requires high levels of concentration while coping with frequent interruptions.
Duties and Responsibilities:
- Assist Spanish-speaking families by phone and in person.
- Translate flyers and other materials as requested.
- Distributes Mail
- Answers Phones
- Responds to inquiry from staff, students and Parents
- Maintains Communication Log
- Schedule appointments for Principal and Assistant Principal
- Maintains Student Data Base
- Input Power School Student Info including but not limited to student demographics, attendance, etc.
- Prepare Student Record Reports
- Manages Deliveries (UPS/FedEx)
- Maintains and copies SWIS and sends letters on Discipline
- Collect Phone logs (Teachers)
- Laminate Projects and Maintains Inventory
- Background Checks for Parents and Volunteers
- Registration
- Graduation
- Maintains and Processes student records
- Maintains Cumulative Folders
- Collects Lesson Plans
- Processes Transfer Requests
- Manages Substitutes (AESOP)
- Monitor and reconcile accounts for the Principal and Assistant Principal
- Enter requisitions, check deliveries and arranges distribution of goods
- Compose correspondence and effectively use technology
- Identify and address errors and discrepancies professionally and in timely fashion
- Attend workshop and seminars to improve the operations
- Evaluates the system and provide recommendations for improvement
- Responsible for safety protocols as outlined in the School Emergency Operations Plan
- Separate and distribute basic school supplies throughout the school year, as requested by staff members
- Track and maintain supplies inventory in district storeroom
- Greet visitors, determine nature of business, secure proper identification for name badge as outlined in policy manual
- Answer telephone to provide information, take messages, and transfer calls
- Performs secretarial duties (i.e. compose memos, draft letters, etc.)
- Perform duties to support the Lunch Program
Mailings and Notifications:
- Process requested fax
- Principal Newsletters
- Coordinate Report Cards Distribution
- Conduct Automated Message Alerts
- Letters for Detention or suspension
- Sends out Attendance/Tardy Notices
- Prepares Letter of Recommendation for High School Students
Terms of Employment:
FMLA is a minimum of 4 weeks.
Salary/Benefits
Hourly Salary is commensurate with experience and education
