Duties

  1. Organizes and manages day-to-day needs of the office.
  2. Receives and places telephone calls, including but not limited to phone blasts, as instructed.
  3. Records and distributes messages as instructed.
  4. Orders and maintains supplies as needed.
  5. Fills out with a high degree of accuracy, all official forms that relate to the functions of this office.
  6. Welcomes visitors and arrange their comfort.
  7. Inputting orders and requisitions for District Office Departments
  8. Maintains accurate log for building usage by outside organizations.
  9. Substitute Coordinator.
  10. Order food for district in-services.
  11. Assist with teacher evaluation
  12. Assist with ISBE compliance issues.
  13. Guards the confidentiality of all information which may come through the office. Breach of this trust shall be grounds for dismissal.
  14. Provides secretarial support for the area of Title I and School Improvement as assigned by the Director of Instructional Services.
  15. Monitors Title I grant functions, including budget, grant amendments, and Title I record keeping.
  16. Provides assistance with Title I school improvement planning process.
  17. Provides support to the Title I Parent Office as directed.
  18. Verifies low-income counts at non-public school sites for Title I funding.
  19. Processes Title II, Part A expenditures for non-public schools and maintains documentation.
  20. Completes and submits Time and Effort Reports (i.e., Monthly Federal Certification Forms and Personnel Activity Reports or Semi-Annual Certification Forms) as required for any personnel fully or partially funded with federal funds.
  21. Perform such other duties as may be assigned by the Superintendent of Schools, Supervisor of Buildings and Grounds, Director of Instructional Services, and/or Chief School Business Official.

Qualifications

  1. Must be highly motivated and able to work independently, and work well with others.
  2. High school diploma/Associate/advance degree (preferred) plus has at least two years’ experience.
  3. Have an above average command of English Grammar, Spelling, and Composition.
  4. Intermediate knowledge in Microsoft Office Programs (Word, Excel, Publisher, PowerPoint).
  5. Three years success office experience.
  6. Ability to quickly learn computer programs as they become available and as current programs are updated.
  7. Have an above average command of proper business letter construction, report development, and other standard business communications.
  8. Be able to type 60 words per minute, with a high degree of accuracy.
  9. Be able to operate a variety of office equipment, including computer, memory typewriter, copier, software, fax, etc.
  10. Have ability to organize and operate on office information storage and retrieval system.
  11. Have knowledge of a variety of official rules, regulations and procedures, so as to be able to accurately fill out a variety of official forms.
  12. Have a pleasant office demeanor and a diplomatic telephone voice.

Salary/Benefits

Twelve months (245 days).  Salary and other benefits in accordance with the classified staff collective bargaining union agreement.
